It created momentum. That context matters, because this session wasn't about experimentation. It was about operational transformation at city scale, already underway. Khaled Elshal's presentation offered a grounded, real-world look at how AI is being embedded into day-to-day operations at Expo City, delivering measurable gains in speed, accuracy, and resource efficiency.
AI-Powered Document Retrieval: Replacing Legacy Knowledge Systems
The first success story focused on something deceptively simple: document management. Under the legacy system, engineers could retrieve technical documents, such as chiller sequences of operation, but only if they already knew where to look. Navigation was manual, hierarchical, and time-consuming. The AI-powered replacement flipped the model. Users now search using natural language prompts. Relevant documents surface in seconds, not minutes. Retrieval time dropped from nearly a minute to under 20 seconds. Beyond speed, the real gains were strategic: improved data security with an in-house system replacing third-party storage, higher accuracy by eliminating deep manual searches, and lower cost because it was built internally by Expo City's own teams. The challenge wasn't technical. It was human. Migrating terabytes of legacy data and shifting staff habits after eight years of using the old system required structured change management and training. The lesson was clear: technology adoption succeeds or fails on people, not platforms.
AI-Driven BMS Diagnostics: From Alarms to Root Cause Analysis
The second example went deeper into operations, this time inside Expo City's Building Management System. In a conventional BMS, an alarm tells you where a problem is. What it doesn't tell you is why it happened or what to do next. With AI embedded, Expo City's system now traces alarms upstream and downstream automatically, diagnoses root causes rather than just symptoms, recommends corrective actions, identifies the required skillset (HVAC, electrical, or specialist), and sends actionable instructions directly to the FM helpdesk. A high CO2 alarm, for example, is no longer a manual investigation. The system checks airflow, damper positions, fan units, and equipment status autonomously, then tells the team exactly what's wrong and who should fix it. The results: faster response times, optimised workforce deployment, higher operational efficiency, and built-in analytics revealing recurring issues and failure trends. Again, the biggest hurdle wasn't AI. It was onboarding. Integrating more than 120,000 data points across the city and structurally linking them into intelligent workflows required precision, planning, and retraining.
Building a Real-Time Smart City Operating System
What made this session stand out was its forward-looking vision. Expo City is moving toward a fully integrated, real-time operational ecosystem, where AI consolidates utility consumption, IoT sensor data, BMS diagnostics, and revenue and operational performance. All of it feeds leadership dashboards that support live, evidence-based decision-making, while AI benchmarks performance against other cities and commercial districts. This isn't about smart buildings anymore. It's about self-aware cities. Property Technology Confex brings together the region's leading voices in PropTech, smart buildings, and digital transformation. Watch the full session: https://www.youtube.com/watch?v=4aknqPDR2nE
